[WARC] Meeting Minutes

One concern I have (not a deal breaker) is that the minutes are not "offici=
al" until approved at the next monthly meeting. How many "unofficial" copie=
s of the minutes do we want running around in cyberspace? Perhaps I could p=
laster "Draft" across the front of them.

Ideally, we want members to attend meetings. How much effort should we put =
into making the monthly "activities" interesting and attractive? How much e=
ffort should we put into making it easier for members to skip those "activi=
ties"?

For that matter, why do we have monthly business meetings instead of just "=
activities"?

As I look at my notes (Sorry, I have not placed them into a presentable for=
mat yet), this last meeting had two items of business:

  1. We approved the minutes of the April meeting.
  2. We ajourned the meeting.

While there were a couple of committee reports and some announcements, THER=
E WAS NO BUSINESS! The committee reports and announcements could have been =
disseminated on WEPnet or on this reflector. I think committee reports shou=
ld be submitted to the club in writing anyway. The formal "report" of a com=
mittee to the club should not depend upon the club secretary's interpretati=
on of an informally delivered verbal statement. Such written reports could =
easily be presented to the executive committee, read on WEPnet, and publish=
ed on this reflector.

What happened last Thursday is not terribly unusual. April's "meeting" cons=
isted of the following items of business:

   1. Minutes approved.
   2. Treasurer's report approved.
   3. Meeting ajourned.

Everything else was committee reports and chit-chat. It was all stuff that =
could have been handled elsewhere.

The program last Thursday was interesting and relevant to a club operating =
activity that will be conducted in June. I didn't know what the program was=
 to be about in time to publish in the Hamgram. Had I been able to do that,=
 we could probably have generated enough interest on the part of those who =
are planning on helping out with the bike race to have had more of them pre=
sent. Also, those who do not plan on participating in the bike race event a=
nd who don't care about packet would then have had an option to do somethin=
g else with their time last Thursday. Those people came, however, and waite=
d for over an hour for the start of a "meeting" that had no business.

  I would like to suggest that the club meeting minutes be posted on this l=
ist shortly after the meeting. For those of us that do not attend meetings =
on a regular basis it would give us an idea of what is going on. The way it=
 is now we don't find out until the Hamgram for the following month which m=
ay be too late if you want to participate in an activity.
