[WARC] Meeting Minutes

Les,

You make some good points. Maybe I am looking more for a summary of what
happened. Official minutes can wait for the Hamgram. Knowing what the
program is ahead of time would be great.

To be honest with the group, I live 13 miles out of town.If the program
or topics don't peak my interest I won't be there. For me it is 45
minutes of total drive time to get to and from the meeting. Most of the
club activities are brought up at a meeting. If I don't go to the
meeting I don't know about it.

Was Field Day brought up? We are only about 6 weeks away.

One concern I have (not a deal breaker) is that the minutes are not
"official" until approved at the next monthly meeting. How many
"unofficial" copies of the minutes do we want running around in
cyberspace? Perhaps I could plaster "Draft" across the front of them.

Ideally, we want members to attend meetings. How much effort should we
put into making the monthly "activities" interesting and attractive? How
much effort should we put into making it easier for members to skip
those "activities"?

For that matter, why do we have monthly business meetings instead of
just "activities"?

As I look at my notes (Sorry, I have not placed them into a presentable
format yet), this last meeting had two items of business:

  1. We approved the minutes of the April meeting.
  2. We ajourned the meeting.

While there were a couple of committee reports and some announcements,
THERE WAS NO BUSINESS! The committee reports and announcements could
have been disseminated on WEPnet or on this reflector. I think committee
reports should be submitted to the club in writing anyway. The formal
"report" of a committee to the club should not depend upon the club
secretary's interpretation of an informally delivered verbal statement.
Such written reports could easily be presented to the executive
committee, read on WEPnet, and published on this reflector.

What happened last Thursday is not terribly unusual. April's "meeting"
consisted of the following items of business:

   1. Minutes approved.
   2. Treasurer's report approved.
   3. Meeting ajourned.

Everything else was committee reports and chit-chat. It was all stuff
that could have been handled elsewhere.

The program last Thursday was interesting and relevant to a club
operating activity that will be conducted in June. I didn't know what
the program was to be about in time to publish in the Hamgram. Had I
been able to do that, we could probably have generated enough interest
on the part of those who are planning on helping out with the bike race
to have had more of them present. Also, those who do not plan on
participating in the bike race event and who don't care about packet
would then have had an option to do something else with their time last
Thursday. Those people came, however, and waited for over an hour for
the start of a "meeting" that had no business.

The treats, however, were great! Thanks Tom.

-Les

I would like to suggest that the club meeting minutes be posted on this
list shortly after the meeting. For those of us that do not attend
meetings on a regular basis it would give us an idea of what is going
on. The way it is now we don't find out until the Hamgram for the
following month which may be too late if you want to participate in an
activity.
